Bookkeeper / Accounting Associate

Scope of Responsibilities:

  • Oversee all aspects of bookkeeping to ensure invoices are accurate, coded correctly in books, and paid in a timely manner
  • Oversee rent collection. Decide on options for collection when residents are past due and track.  Decide when legal filings must occur and coordinate with lawyer
  • Oversee payroll and reporting systems, including W2s, 1099 contractors, etc.
  • Oversee books for submission to CPAs and interact with them on questions of accounting procedures
  • Analyze monthly performance and budget projections
  • Ensure that required financial reporting to mortgage holders is correct and timely
  • Create annual budget for financial reporting to mortgage holders
  • Create quarterly reports with details of performance in all aspects of company execution. Meet with trustees and beneficiaries on a quarterly basis or sooner if needed
  • Oversee all interior systems for completeness and accuracy, including all lease paperwork and addenda, legal noticing for change of terms, move-in and move-out documentation, security deposit refunds, etc.
  • Be completely familiar with Employment Law and ensure correct implementation including proper posters, wage and hour classifications
  • Be the HR Administrator for company, including hiring and firing and all documentation related to employment
  • Bid and place all insurance – Worker’s Compensation, Crime, EPLI, Data Breach, Property Insurance, Commercial Umbrella. Submit applications in a timely manner and ensure information is accurate.
  • Make sure that all properties comply with insurance requirements and other safety regulations such as Reg 4 Fire Testing
  • Stay up to date with all Landlord/Tenant laws and make sure that all paperwork and interactions are compliant with all laws
  • Make decisions in most difficult resident situations on how to handle to ensure that company is protected from lawsuits
  • If lawsuits do occur, prepare and appear on behalf of company
  • Administer company health insurance benefits by creating options and disseminating to employees
  • Create annual Employment Handbook with lawyer’s guidance and disseminate to employees receiving confirmation from them
  • Be aware of all local and state regulations covering rentals such as LA City and California State Rent Control and ensure that all paperwork is correct and adhered to properly
  • Be aware and adhere to all regulations regarding COVID-19, such as requirements for pools, spas, gyms, etc.
  • Oversee reporting for local regulations, such as Low Income Housing unit and Energy Use Data for City of Los Angeles as well as for Fannie Mae
  • Be highly competent in all software systems used within the company, including Yardi, OnSite, Basecamp, Excel, Google Docs and Google Sheets
  • Be familiar with all legal entities including LLCs and trust accounts to be able to work within legal structures when doing accounting and legal tasks
  • Interact with insurance company requirements for reporting or claims as needed
  • Recruit, interview, and hire for all staffing needs
  • Review all contracts for utilities, phones, cable, internet to make sure that best prices and companies are being used


Skills Needed:

  • Office Administration experience
  • Real Estate management experience
  • Some Accounting and human resources experience


Educational & Work Requirements:

  • Degree: Bachelors Degree
  • Work Experience:  5 or more years
