Our client is currently seeking a strong Administrative Assistant that would support the Chairman's Executive Assistant at a well-known Commercial Real Estate company. Duties & Responsibilities

  • Working with the Chairman’s Executive Assistant to coordinate and schedule personal and professional appointments 
  • Assisting with research and preparation of materials and information for meetings/travel 
  • Assisting with reservations/transportation/accommodations for both personal and business travel
  • Receiving correspondence and mail, directing, logging or flagging as appropriate 
  • Creating and maintaining files and records for historical/informational reference 
  • Receiving and logging all invitations/contribution requests to be presented at the weekly scheduling meeting 
  • Assisting with lunch and coffee as needed
  • Greeting guests 
  • Answering phones, maintaining phone log, placing calls as directed by Chairman
  • Maintaining business and personal contacts
  • Maintaining documents reflecting personal data
  • Archiving and downloading personal photos
  • Ordering all personal items
  • Preparing reports as requested  
  • Communicating with various household staff members
  • Participating in weekly scheduling meetings

Skills & Qualifications

  • Bachelor’s degree preferred 
  • 5+ years administrative experience and 5+ years supporting an executive  
  • Excellent written and verbal communications skills 
  • Excellent project management and organizational skills 
  • Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines 
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, Access) and Internet Explorer 

Ability to

  • Maintain a high level of confidentiality 
  • Work well with executives and staff 
  • Use initiative and maintain a firm sense of responsibility 
  • Work with little direct supervision
